Organizations, persons, or program units wishing to plan receptions and other meetings before, during, or after the Annual Meeting need to make an Additional Meeting Request.
Additional Meetings are important additions to the AAR Annual Meeting program. Please note the deadlines below. No additional meetings of a programmatic nature (i.e., paper or panel presentations) will be scheduled during the ten regular program unit time slots of the Annual Meeting.
Online Additional Meeting Request System. You must be an AAR member to request Additional Meeting space. If you are arranging an Additional Meeting on behalf of an exhibiting company, publishing house, or institution, you may use an Institutional Login; directions will appear on the login page.

Policies
Additional Meeting requests are reviewed by the AAR and are granted on a first-come, space available basis.
AAR sessions receive priority scheduling. AAR reserves the right to request scheduling changes due to programming conflicts. No Additional Meetings with academic programming can be held during the regular AAR session programming after noon on Saturday. We make every effort to meet your scheduling requirements; a second choice for date and time for your event helps us accommodate your request.
All food, beverage, and audiovisual needs must be scheduled directly through the hotel facilities and audiovisual vendor. Facilities payment terms apply. Carefully review all facility contracts, especially regarding any deposits and/or cancellation penalties. Please note: AV equipment already in rooms will be unavailable unless prior payment arrangements have been made.
Additional Meetings attendees and participants must be registered for the AAR Annual Meeting. AAR membership is not required to attend or participate in an Additional Meeting.
Deadlines
May 1 – Deadline for priority scheduling and publication in the Annual Meeting Program Planner. The Annual Meeting Program Planner is mailed to all AAR members in late May and contains the name, date, and time of all sessions. Additional information will be posted online Program Book after August 1.
August 1 – The online Annual Meeting Program Book is available. The name, date, time, and location of the session will be posted. Additional advertising, if requested, will be displayed to all visitors to the AAR web site.
October 1 – Deadline for publication in the onsite Annual Meeting Program Book. The Annual Meeting Program Book is the complete program listing available to all AAR Annual Meeting attendees onsite at the meeting. The session name, date, time, and location will be listed. Additional advertising, if requested, will be printed.
October 15 – Deadline for new Additional Meeting requests. Corrections and edits to current Additional Meetings will continue to be posted in the online Program Book; please allow 24 hours for corrections to appear online.
Rates
Meeting Space:
- $55 per 2.5-hour block
- $25 Room Set Change Fee for other than theater set.
- $75 Catered event cleaning and ordering fee (food and beverage payment arranged directly with meeting facility)
Additional Advertising:
- $55 for 75 or fewer words
- $100 for 125 or fewer words
